Tips to help you in the workplace

Session 1   power point :  9.30 – 10.45am
Session 2   readings and questions : 11am to 11.30pm
Session 3   research on guest speaker with activity 11.45 to 12.45pm
Session 4    zoom session with guest speaker : 1pm to 2pm
Phone calls with trainer : 2pm onwards 

Personal presentation & hygiene
Your personal presentation and hygiene reflect on the professionalism of the business
Be Neat and tidy at all times with a clean and pressed uniform.
No bad body odour or heavy fragrances.
Uniform/clothes must be washed regularly
Take a shower or bath daily.
Have clean hands and fingernails.
No unhygienic habits –ie picking your nose.
Brush  teeth regularly and be careful of bad breath.
Be aware of the style of clothes you wear.
Avoid clothes that are overly revealing

Following instructions
When receiving instructions ask questions when you are not certain of what it is you are being asked to do.
Double check the instructions you receive to ensure that they are correct and you have not misheard or misinterpreted the instructions.
Don’t be scared to ask questions! It’s better to ask than complete the task wrong.

Organising a work routine
Work routines may include the following tasks:
Interacting with customers
Interacting with authority
Help other staff members
Packaging stock
Producing goods
Organising the area
Meal breaks

Timeframes
When working in modern business, you will need to be quick and well organised
A supervisor or manager will usually have in mind how long a specific task will take to complete
Time frames can vary from immediately, daily, weekly, monthly, on occasion and even when the time is needed

Setting priorities
Start planning your work day with a written prioritised to do list

Problem solving
Solving problems will be a common duty of your job
Problems may be minor or large
You may need to seek assistance from management

Job checklists
May contain a list of tasks that need to be completed to be ready for the day’s work or to close down at the end of a day’s work.
Helps you ensure all necessary tasks have been completed.
 
Work schedules
Are like a job checklist, but with timing and importance.
They stipulate what tasks are to be done first, second, third …. Last.
May give times when each task are to be done and how long each task will take.

Getting feedback – Open Questions
Open questions are questions that require a person to give a
detailed answer, they use words such as:
How?  How does the product get delivered? 
Why?  Why do we need so many people on the team? 
When?    When was the order received?
Where?    Where are the transport drivers at the moment? 
Who?          Who placed the transport order? 
What?         What have they ordered?

When would you use an open question?
Closed Questions
Closed questions are questions that require a person to give a yes or no answer.
Is the order ready to go?
Did the truck arrive on time?
Has this project been finalised?
Has the computer been fixed?

When would you use a closed question?

Time management
Good time management is about planning
This requires a person to:
Look honestly how they spend their time
Keep records like a diary
Categorise your time and work
Plan your time and stick to your plan
Work with others in your team
Learn delegation techniques
Balance your work load

Time management tools
Use a diary either hard copy or electronic for:
Planning meetings
Tracking deadlines for tasks
Planning travel
Keeping phone numbers
Making notes to yourself
Carry it with you everywhere

Every day
Checklist for particular tasks that get repeated many times
Long term goals

Clean well organised work area
Keep your work area clean and tidy
Clear your desk at the end of every day
It helps your mental clarity and productivity
 
Slice it up
Break large tasks into many smaller tasks
Smaller tasks can be completed easily
Give a sense of achievement while contributing to completing the large task on time

Does it really have to be done?
Eliminate time wasting tasks
It will free up more time for more productive work
 
Plan breaks
Working nonstop for hours and hours without a break can lead to low productivity and poor work
Planning for and having breaks is important

Group like activities
Try to group activities that are similar or in the same location together to be more efficient
Speak to your supervisor if you do not believe you have time to complete a task in a timely manner

Use technology to manage workplace priorities

Online diary
Cloud storage
Tablet devices
Skype and video conferencing
Project management software
Accounting software
Maintain work life balance
A balanced life would include:
Adequate time with your partner/ children/ family.
Ability and time to carry out personal responsibilities
Participation in sport or physical activity
The enjoyment of a hobby or interest
Annual holidays
Support of your workplace to have work / life balance
The enjoyment of friends and relationships

Managing health
Good diet keeps your body well
A healthy body makes it easier to cope with stress
Chronic diseases are linked to diet

Dietary guidelines for healthy Australians
Enjoy a variety of foods
Plenty of vegetables, wholegrains, lean meat
Drink plenty of water
Limit saturated fat, added salt and sugar

Physical activity
Assists your physical and mental health and reduces stress
Recommended 30 minutes of moderate intensity most days 
 
Health checks
Have regular health check-ups
Monitoring your general health, weight, blood pressure, diet, cholesterol and lifestyle.
Health impact of many diseases can be greatly reduced if caught early.
Being healthier enables you to do your job more effectively

Smoking
Quitting smoking = Healthier lifestyle and saving money

Weight
Monitor your weight and seek medical advice if overweight to reduce health risks of diabetes and cardiovascular disease
