FEBRUARY 24 - FEBRUARY 27, 2013

Thank you for registering for the upcoming 2013 STOP Administrators Meeting, Sunday, February 24, 2013 - Wednesday, February 27, 2013 in Louisville, KY. This conference is currently under review for approval by the United States Department of Justice. We will not authorize travel until this conference has been approved, and you MUST receive a travel authorization code before booking travel. Once the conference has received approval, a travel authorization code will be sent out to you during the month of January.</font=1.5> Please complete this registration by <font=1.5>Wednesday, December 5, 2012.

STOP Administrators Meeting

We recognize that those traveling long distances may have limited flight options requiring travel extensions to fully participate in the meeting. If so, with prior approval, we will provide additional lodging and per diem to accommodate these special circumstances.

Please be advised that only two STOP Administrators per state or territory will receive approval to attend.

The full meeting begins for all on Tuesday February 26th, 2013 at 8:00 a.m. There will be a session for participants from the U.S. territories on Sunday, February 24th, 2013, and a session for new grantees on Monday, February 25th, 2013. The session for the U.S. territories is mandatory and limited to only those who are from a U.S. territory. The session for new grantees is for Administrators who have been in their position 3 years or less.

If a participant is from a U.S. territory we recommend you book travel to arrive before the session beginning on Sunday, February 24th, 2013 at 1:00 p.m. and depart no earlier than 5:00 p.m. Wednesday, February 27th, 2013. If you need to arrive later or depart earlier, you must clear this with your OVW Program Manager before booking your flight. We will cover lodging expenses from your approved arrival time through check out on Wednesday, February 27th, 2013. If flight availability prohibits you from leaving Wednesday, February 27th, 2013, we will cover your lodging expenses that night as well.

If a participant is a new administrator we recommend that you book travel to arrive before the session beginning on Monday, February 25th, 2013 at 8:00 a.m. and depart no earlier than 5:00 p.m. Wednesday, February 27th, 2013. If you need to arrive later or depart earlier, you must clear this with your OVW Program Manager before booking your flight. We will cover lodging expenses from your approved arrival time through check out on Wednesday, February 27th. If flight availability prohibits you from leaving Wednesday night, February 27th, we will cover your lodging expenses that night as well.

For all other participants we recommend you book travel to arrive before the first session begins on Tuesday February 26th, 2013 at 8:00 a.m. and depart no earlier than 5:00 p.m. on Wednesday, February 27th, 2013. If you need to arrive later or depart earlier, you must clear this with your OVW Program Manager before booking your flight. We will cover lodging expenses from your approved arrival time through check out on Wednesday, February 27th. If flight availability prohibits you from leaving Wednesday night, February 27th, we will cover your lodging expenses that night as well.

Travel for WOCN STOP Administrator Action Meeting

If you are attending the meeting hosted by the Women of Color Network (described below) beginning on Thursday, February 28, 2013 and ending Friday, March 1, 2013, we recommend that you book travel to depart no earlier than 2:00 p.m. on Friday, March 1, 2013. If flight availability prohibits you leaving Friday night, your lodging expenses will be covered that night as well, with a check out of Saturday, March 2nd.

WOCN STOP Administrator Action Meeting

The WOCN STOP Administrator Action Meetings will be a hands-on, high-energy, high impact, and creative convening. Administrators will be able to develop new attainable goals, assess current goals and gain knowledge to reach those goals. These action meetings will provide safe environments for Administrators to share their own strategies, successes and challenges so that each Administrator and the field as a whole is better poised to reach underserved, un-served, and inadequately served communities. In these unique action meetings, the highlight of our technical assistance, we can make a difference in our work and impact – and our communities!

The STOP Administrator Action Meetings, building on our current Technical Assistance, are your opportunity to increase your knowledge and improve your skills to more effectively:

      • identify underserved, inadequately served, and un-served communities in your state
      • expand and build productive relationships and partnerships with underserved communities and community-based organizations
      • gain input and representation of underserved communities on State planning teams
      • navigate the challenges of responding to the needs of emerging populations
      • increase technical assistance, funding, and services reach to underserved communities

With support from Grant Number: 2009-X3734-PA-ET, of the OVW Recovery and Reinvestment Act, each Administrator may attend one of the following STOP Administrator Action Meetings:

Travel Arrangements

You will receive information about the status of your travel and information about how to book travel during the month of January. You may book travel ONLY with prior approval.

Lodging

The 2013 STOP Administrators Meeting will tentatively be held at The Brown Hotel (335 West Broadway Louisville, KY 40202; ph: 502.583.1234). Local fare is available at a variety of restaurants located around the hotel on 4th Street. Just a cab ride away you can find the Louisville Slugger Museum, Louisville Glassworks, or other Louisville sites. Rooms will be booked on your behalf. Your room and tax will be covered for the dates you outlined above, in accordance with outlined guidelines (unless otherwise arranged), and you will be asked to present a credit card to cover your incidental expenses. If you would like to stay additional nights at The Brown Hotel, please indicate so in the travel dates listed above, and notify LaTanya Lane (tlane@also-chicago.org) once you have booked your flight. Any additional nights will be at your own expense. ALSO cannot guarantee the prevailing government room rate on any extra nights you choose to stay at the hotel, as these rates are subject to hotel availability. However, should this rate be unavailable ALSO will notify you.

Meals and the Reimbursement Process

No meals will be provided during the meeting. You will be reimbursed at 100% of the federal per diem rate for any meals you purchase during meeting days. You will be reimbursed at 75% of the federal per diem rate for any meals you purchase on days that you travel.

Details concerning reimbursement for food and beverage costs, ground transportation, and baggage fees will be sent with the travel booking information you will receive in January.

Transportation

The Louisville Airport is six miles, or a 12-minute drive, from The Brown Hotel. The Brown offers complimentary shuttle service 24 hours a day. A taxi ride from the airport to the hotel usually runs $9.20 each way.
