ASHG 2026 Ancillary Event Application Survey

The ASHG Annual Meeting is a great opportunity to connect with the human genetics and genomics community, and we invite you to host your own ancillary event. Complimentary space will be available at the convention center (the Palais de Congres de Montreal) and official ASHG hotels for approved events. Priority Submission Deadline: May 22

General Submission Deadline: June 15

Submission Form Closes: September 15

Events submitted by the priority submission deadline will be reviewed first and given priority access to available meeting space within the convention center.
- Events received after the priority deadline, or those requiring substantial room capacity or longer time allocations, will be assigned to official ASHG hotels depending on availability at the convention center.
If you plan to host more than one event, this form must be completed separately for each event.
If you plan to host an event that spans two days, this form must be completed separately for each day of the event.

Who Should Use This Form?

Organizations and universities hosting receptions, committee or consortia/business meetings, workshops, or scientific satellite events
Commercial organizations hosting after-hours-only promotional receptions (subject to ancillary event guidelines).

Important:

There is no single HQ hotel for this year's meeting, so ASHG will work with official hotels to assign space for approved events not assigned to the convention center. All official hotels are less than 1.3 mi. / 2.09 km. from the convention center.
Event/room requests of three days or more do not qualify for complimentary space. Contact exhibits@ashg.org for meeting room rental options.
Daytime educational events with promotional content (i.e., commercial product tutorials/demos/workshops, talks with customer testimonials, etc.) also do not qualify for complimentary space. Request our 2026 exhibit prospectus here to see the available industry event opportunities and pricing.

I acknowledge that there are no badges or services included for any ancillary events hosted in conjunction with the ASHG Annual Meeting, and that my organization is responsible for arranging for all registrations and all services associated with this ancillary event such as catering, AV equipment, internet service, etc. Note: ASHG no longer provides complimentary use of AV for ancillary events.

I acknowledge that no marketing, advertisements, interest/registration lists, or promotions are included with any ancillary events other than a basic listing on the ASHG schedule, and that it is the sole responsibility of each organization to promote their event(s) and draw attendees. ASHG does not guarantee leads or attendance to ancillary events.
