Rental Administrator Hiring Process:

Mission: To ensure the profitability and efficiency of the NS4L rental fleet by working to ensure that each unit is properly maintained and rented out on a consistent basis and do so upon the UCE foundation.

Primary Responsibilities

Working toward the vision of the company and doing so by living up to the core values. Rental Sales

Maximizing NS4L Rental revenue and profitability by ensuring that vehicles are consistently booked for pay

Sales and promotions to encourage high turnover Groupon, Craigslist, Social Media, etc.

Proficiency in FareHarbor - our fleet management website - [Training Provided]

Creating in-store rental bookings
Ensuring each booking is completed properly with customer information, rental type, rental VIN or Serial Number, rental term, rental cost, any applicable discounts, etc.

Managing website bookings
Receive emails when online booking has been created and maintain organized schedule to ensure prompt, accurate, and smooth booking fulfillment

Adding and deleting units in the rental fleet as necessary
Ensuring accurate payment and refunds
Curating usage and revenue reports through the FareHarbor system Working with Bookkeeping to ensure payment accuracy and address any potential discrepancies with FareHarbor
Rental Paperwork
Create and/or download all contracts and ensure they are 100% accurate and signed by rental customer
Ensure that the Scooter Rental Registration Document (commonly referred to as the “Seat Sheet”) is properly filled out and a copy is kept with the scooter rental being booked
Complete Damage Inventory sheet with each customer to ensure that any existing damage is notated and that rental customer accepts the vehicle as-is and will be held liable for any new damages during their contract
Scan all documents into Dropbox and maintain location of hardcopies during contract window

Primary Responsibilities continued:

Rental Readiness
Work with service department to ensure that maintenance and repairs are up to date on every vehicle.

Scooters
Oil changes and preventative maintenance follows appropriate schedule for scooter model

Electric Bicycles
Batteries are fully charged
Chains are properly lubricated
Tire pressure is checked and maintained

All Units
Safety parts repaired or replaced whenever necessary Cosmetic parts are secured, repaired, or replaced at NS4L discretion with the following focus and prioritization:

Safety
Reliability Rentability Cost-effectiveness

Ensure that rentals are always ready for new bookings
Removal of any trash under seat or in glovebox
Removal of any parking decals
Any rental on property that does not have a ticket with the NS4L service department should be 100% ready for rental

Appropriately cleaned and detailed Rental Administration

Work with office administrator to ensure that every scooter has the following: Correct license plate with current registration
Copy of Austin Global Enterprises LLC Vehicle Registration that matches VIN and license plate

Has been included in our rental insurance policy Rental Tickets

Appropriately handles any citations levied against a rental unit Transfer of citation to appropriate customer

Or payment and reimbursement by customer where necessary Appeal process of any citations where NS4L holds itself responsible Payment of any citations where NS4L holds itself responsible
Rental Fleet Management
Commissioning new rental units where necessary

High Demand Special Events New products

Decommissioning rental units where necessary High mileage

Turn over retired units to Sales Department to sell off as used inventory or to Service Department for scrap

Qualifications / Skills Needed

Extremely Organized.
Able to have multiple Chrome Tabs open in their head.
Able to prioritize.
Has a clear awareness of everything happening around him/her.

Self-motivated “go-getter” to seize opportunity and grow our rental business and presence in the community
Experience listing and selling items on Groupon, Craigslist, Social Media, etc. [If none, willing to learn.]

Tech Savvy - quick on a computer to login to our rental portal, advertise availability, and use various online marketplaces
Work creatively and intelligently within marketing budget to maximize reach and minimize costs

Professional spelling, grammar, and punctuation in all non-private communications, public posts, and internal systems
Thrives in fast-paced environment and adjusts on the fly.

Ex: You will be working on something and have to pause to answer phone calls,

book rentals, teach and instruct, etc.
Must have great people skills as you will be talking on the phone often and assisting customers.
Exemplary customer service skills.
