FOOD VENDOR DEPOSIT
All Food Vendors are required to turn in a refundable deposit of $100 at the time of the application to ensure Food Vendors are present during all Oktoberfest hours. Any Food Vendor who does not show or is not present during the entirety of Oktoberfest will lose said deposit. Food Vendors can turn in the deposit through the following options:

In-Person at Village Hall (Monday - Friday, 8AM to 4PM)

FOOD RULES & REGULATIONS

Exclusivity: The Village of East Dundee does not guarantee exclusivity to any Vendor but will accommodate to the best of our ability.  First priority will be given to businesses with existing locations in East Dundee.
Licensing Responsibility: Village business licensing and compliance with the Department of Health and Sanitation is a requirement of each Food Vendor.  Please submit the following:
- Illinois Department of Revenue Sales Tax Number Certificate.
- A Certificate of Insurance covering your activities while participating at the Village of East Dundee Oktoberfest.  The Village of East Dundee must be listed as additional insured. 
Menu Items: Food Vendors must offer at least one Oktoberfest themed food item.  The Village requires all food vendors to provide water and non-alcoholic drink options and at least one family/kid friendly menu item (for example, hamburger, hot dog, grilled cheese, etc.).
Booth: The Village will provide a 10' x 10' booth to each Food Vendor.  The Village of East Dundee reserves the right to relocate a Vendor when necessary even after a space has been assigned.
Water: The Village of East Dundee will supply at no cost to Vendor a water source.
Electricity: Electricity on site is provided at no cost to the Vendor.  
Set-Up/Tear-Down: Information on load-in/set-up times will be provided to Food Vendors prior to fest.  The Village requires that Food Vendors arrive at least 1.5 hours prior to the fest start time to begin set-up.  Food Vendors must be ready by the fest start time on each day.  The fest will start promptly at 5PM on Friday, September 24th and at 1PM on Saturday, September 25th.  
Trash Disposal: Each space must be clean throughout the fest and cleaned at the end of the fest.  Trash and recycling receptacles will be provided.  
Business Conduct: Food Vendors and their employees must maintain the highest degree of professionalism in their booth and on fest grounds at all times.  Any and all smokers are required to adhere to the State of Illinois no smoking policy in public areas.  Smoking is allowed off-site in designated areas at least 50 yards away from the Food Vendor area.
Indemnification: The Food Vendor agrees that the Village of East Dundee, its employees, officials, volunteers, related event providers of goods and services, or any participating sponsor shall NOT be responsible for any injury, loss, or damage that may occur to the Food Vendor, or to the Food Vendor's employees or property from any cause whatsoever prior to, during or subsequent to the period covered by this application; and the Food Vendor agreeing to this application expressly releases all of the foresaid from, and agrees to indemnify and hold harmless each of them against any and all claims from such loss, damage or injury from participation in the fest.  The Village of East Dundee is not responsible for equipment failure including any acts of God beyond the control of the Village of East Dundee.  
Event Hours: Food Vendors must remain open during the entire fest on both September 24, 2021 and September 25, 2021.
Damages to Rental Equipment: The Food Vendor shall be responsible for costs caused by the Food Vendor, for damages and clean-up of rental equipment as determined by the rental equipment company for items which are damaged, or in need of cleaning following the fest.

The Village requires all food vendors to provide water and a non-alcoholic drink options and at least one family/kid friendly menu item (for example, hamburger, hot dog, grilled cheese, etc.).  In order to respect our beer and wine vendors, no alcohol may be sold at food vendor booths.   Food Vendors are encouraged to sell non-alcoholic drinks like water, pop, iced tea, etc.

Please email your food and non-alcoholic drink menu to Assistant Village Administrator Brad Mitchell at bmitchell@eastdundee.net by no later than Friday, September 3, 2021.
