Shaping pan-Canadian Guidance on Prior Radiotherapy Record Transfer in the Reirradiation Setting: A COMP & CADRA Survey

Introduction

The COMP (Canadian Organization of Medical Physicists) Reirradiation Working Group, in collaboration with CADRA (Canadian Artificial intelligence and Data in Radiotherapy Alliance) invites you to provide feedback on proposed pan-Canadian Guidance Statements for the clinical transfer of prior radiotherapy records in the reirradiation setting.

When a patient requires reirradiation at a different Canadian centre, timely and complete access to their prior radiotherapy records is essential. Inconsistent practices in this area can lead to delays in accessing prior radiotherapy data, planning uncertainty, increased workload, and preventable patient safety risks. Establishing a shared pan-Canadian vision for how these records are transferred will ensure that every patient receives timely care informed by their full treatment history.

These Guidance Statements define foundational principles to promote complete, accurate, and timely access to prior radiotherapy records. They are designed to create alignment rather than uniformity, and reflect a consensus-driven approach grounded in real-world practice across Canada's diverse radiotherapy settings.

The survey presents 15 Guidance Statements across six topic areas, and we ask you to rate them on two aspects: Importance and Clarity. Feasibility — and the practical tools to support implementation across Canada's varied settings — is the natural and planned next step once that foundation is in place.

As you work through the survey, we encourage you to take note of any statement that gives you pause, such as a missing consideration, an unclear expectation, or a practice not reflected in the guidance. A comment field is provided at the end of the survey for you to share these reflections.

This survey will take no more than 10 minutes to complete. Please submit your responses by July 10, 2026.
