Insurance details

Brisbane Green Heart CitySmart Pty Ltd expressly excludes liability for any claims for damages arising out of the negligence of stallholders. If stallholders are employing persons to work at their stall, a copy of a current Work Cover policy must be provided. Brisbane Green Heart CitySmart Pty Ltd or its insurers, in any circumstances for negligence claims will extend no indemnity to stallholders. Stallholders must obtain their own individual Public Liability Insurance to the value of $20 million (non-negotiable). Exhibitors participate at their own risk. The onus is upon participants to have appropriate licenses and comply with Healthy and Safety Regulations.

Terms & Conditions
General
  • All applications will be given due consideration by Brisbane Green Heart CitySmart Pty Ltd and acceptance will be confirmed in writing
  • Once accepted, payment details will be sent to you. Please be advised that your participation is not confirmed until payment has been received.
  • Cancellations will receive 50% refund only. Cancellation cut off date is Friday 10th May 2019. Any cancellations after this date will not be eligible for a refund.
  • Event Organisers reserve the right to refuse or stop any stallholder displaying, selling, promoting or otherwise, any goods or materials which do now, in the sole opinions of the Event Organisers, comply with the purpose of the event
  • The distribution or visual representation of activist/political material of any kind is strictly prohibited. Failure to comply with these regulations could result in eviction from the event
Food Licences
  • Food must only be prepared in accordance with the Brisbane City Council’s food standards. A Council Compliance Officer may contact all food stall holders prior the event to ensure licenses are up to date and answer any questions. Officers may be present during the setup and operation times to ensure all food standards are being met. Workplace Health & Safety
  • Any possible or incurred risks to the public or yourself must be reported to the Event Organisers and the Information Tent as soon as possible
  • This is a smoking, alcohol and drug free event
  • Please ensure that your display area is void of any items where people can hurt themselves
  • Please do not bring any valuable personal items. No responsibility is taken by event management for the security or personal items
Emergency Procedure
  • In the case of an emergency, Event Organisers will direct all stallholders and patrons to a designated area. Upon this direction, all stallholders must cease service immediately and follow the orders of the Event Organisers, Police & Security. All food stallholders are asked to turn off any gas bottles and if safe, disconnect electricity to the site. An emergency plan has been prepared and will be implemented in case of an emergency within the boundaries of the event
Weather & Cancellations
  • The event will proceed in most weather conditions unless it is deemed unsafe to do so by Event Organisers. Event Organisers will endeavour to notify stallholders as soon as possible if the event is being cancelled or changes are made to the site layout due to weather conditions
  • The event will only be cancelled in the case of dangerous adverse weather conditions. All stallholders will be notified by 6am on the event date if the event is being cancelled
  • In the event of a cancellation, it is understood that Event Organisers shall not be liable to the stallholder for any compensation whether on the grounds of loss of profits or otherwise as a result of the event being cancelled
Electrical requirements
  • Your exhibitor space will only have access to power if this was requested on your Green Heart Fair exhibitor application. Exhibitors must bring their own power leads to the event. If required, please ensure you bring a power board too
  • All electrical equipment and leads must have a current test tag and comply with Workplace Health and Safety Standards. CitySmart reserves the right to inspect all electrical equipment or materials brought onto the site
First aid and security
  • First Aid Officers will be available during the event operating hours. The First Aid Officer can be located at the Information Tent. This service is available to all event patrons and vendors should they require first aid
  • A security service will be provided for the duration of the bump in, bump out and event operating times, however total security of goods is the stall holder’s responsibility. CitySmart shall not be held liable for the loss or damage to the stall holder’s property while at any site for any reason whatsoever
Site cleanliness
  • Sites are to be kept clean and tidy at all times during the event
  • All signage and banners are to be professionally presented
  • At the end of the event, site holders are to leave their allocated area in a clean and tidy state, removing any litter, spills or by-products from their activities. Should the site require further cleaning at the conclusion of the event, this expense may be passed onto the site holder
  • Any equipment brought to the site, either from stallholders or suppliers must be removed from the site at the conclusion of the event. Any equipment left on site will be removed at the expense of the stallholder.
  • Disposal of cooking oils and fats are the sole responsibility of the stallholder – this must not be dumped onsite
Water
  • No stallholder / food vendor will have direct access to running water to connect to their site
  • 2 x drinking water stations will be available onsite, please refer to site map closer to the event date for exact locations.
Noise
  • Use of amplifiers or loud speakers by stallholders is prohibited except with prior consent from Event Organisers
  • Stallholders are not permitted to employ, contract or program any performer or performance without prior permission from Event Organisers
