Voices of Hope (VOH) is seeking a full time Program Manager for the University of Kentucky Healing Communities grant in up to 16 Kentucky counties. 
The ideal person will be enthusiastic, extremely well organized, able to understand and enforce protocol, and work well independently and collaboratively. They will have experience coordinating multiple staff schedules, leading managers, , maintaining records, accounting, answering to multiple levels of management and community partners, and be able to travel across multiple counties.


Supervisory Duties
  • Serve as the direct supervisor of Program Coordinators
  • Play a leadership role in assisting with the transition of coaches and Program Coordinators (PCs) from the HEAL grant to Sustainability
  • Lead training of new PCs in HCS specific activities
  • Conduct quarterly reviews of all SOPs with PCs
  • Assume responsibility of implementation of and compliance with all SOPs
  • Conduct periodic site visits and shadow PCs in the field to observe performance
  • Lead performance improvement initiatives related on data outcomes per site and permetric (linkage, retention and OEND)
HR Duties
  • Manage payroll across HCS including pay rates, earnings/deductions, etc.
  • Recruiting HEAL Program Coordinators and staff through development of job descriptions, posting positions and screening applicants
  • Onboard and train all new HEAL Program Coordinators and staff on Voices of Hope organizational policies
  • Assist and oversee HEAL PCs to maintain staffing records in compliance with VOH’s HR standards from hiring, performance reviews, disciplinary actions, and benefits management through termination
  • Manage and notify employees of garnishments and respond to unemployment and workers’ compensation claims
  • Demonstrate consistent quality of finance and administration, communications and systems; recommend timelines and resources needed to achieve goals
  • Attend meetings with or in place of the Program Director
  • Serve as liaison between VOH and the HEAL team ensuring that all parties involved have accurate and up-to-date information
  • Organize and facilitate stakeholder meetings, where appropriate, and distribute minutes to all attendees
  • Document and follow up on important actions and decisions from meetings
  • Preparing necessary presentation materials for meetings.
  • Attends all UK and VOH required conferences, trainings, and webinars
  • Establish rapport and maintain relationships with the HEAL team, community coalitions and connections, and Recovery Coaches
  • Generates grant reports for the community coalition, HEAL team, and community stakeholders as needed
  • Maintain and monitor project plans, project schedules, work hours, and expenditures and alert issues to appropriate leader.
  • Ensure project deadlines are met
  • Work with project team to understand and assist with tracking all work, task and project assignments
  • Assessing project risks and issues and providing solutions where applicable
  • Ensuring project adheres to frameworks and protocols and all documentation is maintained appropriately
  • Tracks and maintain process and outcome data on HEAL initiatives for the purposes of continuous monitoring and evaluation
  • Suggest project changes to management using analytics to support recommendations. Actively participate in the implementation of approved changes
  • Actively contribute to staff development and internal departmental process improvements
  • Undertaking project tasks as required
  • Provide administrative support as needed
  • Complete other duties as assigned
  • Excellent verbal and written communication skills
  • Proficient knowledge and 2 years’ experience with Microsoft Office, Excel, and QuickBooks
  • Strong work ethic, emphasis on attention to detail, and positive attitude
  • Analytical problem solving ability
  • Ability to work well under pressure and short deadlines
  • Ability to record data and complete documentation within established guidelines
  • Ability to develop reports, create presentations and effectively communicate findings to both internal and external audiences
  • The ability to effectively coordinate the activities of employees within assigned project
  • Willing and available to work a flexible schedule (evenings, weekends, etc.) as needed
  • Ability to work with diverse populations and uphold cultural humility principles
  • Bachelor’s Degree required
  • Minimum of 2-5 years’ experience in project coordination, logistics, or related role
  • Minimum of 2-5 years' experience midlevel management
  • Excellent organizational and communication skills
  • Self-motivated, attentive, and ability follow through
  • Competent in Microsoft Office applications such as Word and Excel, and ability to learn new applications and software
  • Exceptional verbal, written, and presentation skills.

Flexibility to work outside of normal office hours is required; Evenings and weekends are likely.
