For Exhibitors

The City of Flagstaff Sustainability Office invites all local organizations with a focus on sustainability and equity to participate in our Earth Day 2023 community celebration!
 
The celebration will take place on Saturday, April 22 from 11:00 AM – 2:00 PM at Bushmaster Park. The event will focus on education and outreach that promotes healthy and sustainable communities.  To support this effort all presenters/exhibitors must host an educational activity that will engage community members at their table. We encourage groups to collaborate on educational projects and even to share table space.

All exhibitors must register and pay by April 1, 2023! Registration includes enough space to set up a 10 x 10 EZ Up tent (tent not provided).

Earth Day Instructions: 
•All displays must be set up by 10:30 AM. Displays must be broken down by 2:30 PM.
 
•All displays should follow sustainable principles.
 
•The goal of our Earth Day celebration is to increase community sustainability through self-empowerment. To promote being resourceful, all vendors and exhibitors must have an interactive component at their booth display designed to encourage community education about sustainable living. Please contact steven.thompson@flagstaffaz.gov with details on how you will engage the public.
 
• There will be recycling bins at Bushmaster Park. Groups should use only the following items: Paper, cardboard, aluminum, and plastic water bottles. (Please see Recycle By City for more information)
If other items are generated as waste, the participating groups are required to remove those items from Bushmaster Park by 2:30 PM.
 
•The City of Flagstaff assumes no liability for displayed items.
 
•All temporary venues and related structures shall be accessible to people of all abilities.
 
•Stakes may not be driven into turf, ground, asphalt or other surfaces.
 
•Tents must be securely weighted down to ensure public safety. Small tents (10 x 10 max) or canopies must be properly weighted to prevent the tent or canopy from blowing/falling over. Minimum requirement of one cinder block per corner. If tents are not properly weighted down, they will not be allowed to be up at the event. Vendors might also be asked to take down tents in the event that the wind creates unsafe conditions.
 
•Tents and canopies must be no larger than 200 square feet respectively and must be indicated on the vendor registration form.

•Vendors and Exhibitors wishing to have multiple tables must submit a registration form for each table. A registration fee will apply per table, not per participant.

The participant agrees to defend, indemnify, and hold harmless the City of Flagstaff, its agents, representatives, officials, and employees, from and against any and all claims, damages, losses and expenses (including but not limited to attorney fees, court costs, and the cost of appellate proceedings), relating to, arising out of, or alleged to have resulted from the acts, errors, mistakes, or omissions of the participant., its agents, employees, contractors, subcontractors, customers, invitees, guests or other persons doing business with the participant. In addition, the participant agrees to abide by all health and safety policies, strategies, and plans as described by the City of Flagstaff, Coconino County, and the Center for Disease Control (CDC).
