DOT(WA) EXECUTIVE COMMITTEE NOMINATION FORM 2022- 2023 Survey

Please complete the form below if you wish to nominate yourself (or another person) to be part of the DOT(WA) Executive Committee. Each position plays a part in keeping DOT(WA) such an active part of the WA paediatric OT network.

The time and commitment level involved in each role varies (from less than one hour a month, to a few hours each week), and many of the roles can be shared between two people- in fact some work best when shared.

Chairperson
·      Presides at general meetings and executive committee meetings
·      Develops and coordinates implementation of the annual Business Plan with input from the committee
·      Develops annual budget in conjunction with Treasurer
·      Checks, confirms and sends all meeting minutes to DOT(WA) email account
·      Completes annual report at the AGM and coordinates election of committee members
·      Responds to queries from DOT(WA) members and the general public
·      Responds to issues arising that affect paediatric occupational therapists in WA
·      Co-authorises all payments from the DOT(WA) bank accounts with the Treasurer
·      Keeps custody of all books, documents, records and registers of the assoc, other than DOT(WA) library items and documents required to be kept by other Executive committee members
·      Keeps and maintains the Rules of the Association with the Membership Secretary

Deputy Chairperson
·      Presides at general meetings and executive committee meetings in the absence of the chairperson
·      Takes on role as liaison person with WAOTA and OTA WA division
·      Submits regular updates DOT(WA) to the WAOTA newsletter
·      Submits an annual activity report to WA OT Assoc.
·      Jointly responsible with Marketing rep for coordinating DOT(WA) activities during OT Week
·      Liaison person with OT Australia
·      Completes an 'OT Associations Report' at the DOT(WA) AGM
·      Attends the WAOTA and OTA (WA Division) AGM, when practical

Treasurer
·      Is responsible for the receipt of all moneys paid to or received by DOT(WA)
·      Develops annual budget in conjunction with Chairperson
·      Co-authorises payments from the funds of DOT(WA) with the authority of the general meeting or the executive committee; with cheques signed and on-line payments made by him/ herself and at least one other authorised committee member (usually the Chairperson).
·      Assists with invoicing as required.
·      Complies with respect to accounting records by:
     o   Keeping monthly accounting records as accurately as possible that would allow audit and explains the financial transactions and financial position of DOT(WA)
     o   Submits a report, summarising the accounts of DOT(WA) at the AGM; showing the financial position of DOT(WA) from the previous financial year.
·      At any point of time, by the request of the Chairperson, may be required to submit to the executive committee a report, balance sheet or financial statement
·      Keeps custody of all securities, books and documents of a financial nature and accounting records.

Meetings Secretary
·      Compiles the agenda and minutes of the proceedings of the general members meetings and the committee meetings
·      Keeps a record of all minutes
·      Manages the DOT(WA) library, including purchasing and distribution of resources as required
·      This role is well suited to someone who can physically or virtually attend meetings regularly

Membership Secretary
·      Manages new members and renewing members on-line applications including invoicing
·      Keeps and maintains the membership register
·      Maintains a record of the contact details of the executive committee members
·      Maintains record of the names and residential or postal addresses of any persons who are appointed or act as trustees on behalf of the Association
·      Keeps and maintains the Rules of the Association with the Chairperson
·      Assists with invoicing as required
·      Complete a 'Membership Report' for the AGM

Email Coordinator
· Coordinates the primary email account for DOT(WA), ensuring information is disseminated to members and emails are forwarded to relevant committee members
· Assists with roles associated with incoming emails

PD Coordinator (Bimonthly)
·      Creates opportunities for DOT(WA) members to have access to quality professional development (PD)
·      Liaises with members and is the contact person for their PD interests and requests
·      Attends executive and general meetings to feedback on upcoming P
·      Responsible for coordinating monthly PD sessions, following general meetings
·      Is the contact person for the PD presenter and organise a gift and certificate
·      Develops and updates bimonthly PD schedule

PD Coordinator (National/International)
·      Creates opportunities for DOT(WA) members to have access to quality professional development (PD)
·      Liaises with members and is the contact person for their PD interests and requests
·      Attends executive and general meetings to feedback on upcoming PD training events
·      Responsible for coordinating international/ interstate speakers to provide PD to members
·      Refers to and follows PD policies when organising international/ interstate presenters
·      May coordinate a sub-committee as required for organising large scale events
·      Maintains and updates PD policy file and PD processes on a regular basis
·      Establishes and maintain networks with national and international PD figures

Website Coordinator
·      Responsible for the ongoing development and maintenance of the DOT(WA) website
·      Liaises with the website development company re updates and improvements to the website functionality
·      Assist with uploading information and ensuring information is up to date on the DOT(WA) website

Research
·      Responsible for identifying research opportunities and needs within paediatric occupational therapy
·      Responsible for coordinating a DOT(WA) sub-committee to review any research application seeking funding from the organisation
·      Responsible for liaising with any persons completing a DOT(WA) funded research project
·      Responsible for organising PD on research for members as required

Marketing
·      Managing the DOT(WA) Facebook page
·      Create fortnightly newsletters on behalf of DOT(WA) for the members via MailChimp
·      Responsible for coordinating the branding of existing DOT(WA) resources including development of marketing materials and resources as required
·      Jointly responsible with Deputy Chairperson for coordinating DOT(WA) activities during OT Week
·      Assist with other promotional events/ activities as required

Rural and Remote
·      Advocate for rural and remote paediatric therapists.
·      Assist the Executive committee in ensuring paediatric rural and remote therapists needs are being met by DOT(WA)
·      Assist the Executive committee to understand regional therapy and service models.

Mentorship
· Running DOT(WA)'s Mentor Connect Programme (run once every 1-2 years, depending on interest).

General Committee Member
·      Assist other committee members as needed and when your available.
·      Assist with small projects as they arise.
·      Offer your thoughts and ideas at meetings.
