TERMS & CONDITIONS OF ENTRY

Complete this application by 1st April 2026 to be considered for a free-of-charge space-only club stand at the Lancaster Insurance Classic Motor Show 2026 (CMS2026) including the Classic Motorbike Showcase.

Submitting this application registers your interest in taking a club stand; it does not guarantee that we will be able to offer your club a stand nor that any space offered will necessarily be as requested. The order in which applications are received has no bearing on selection, so take your time to complete all relevant sections. Applicants will be contacted at the end of May 2026 to confirm if your application has been successful.

Club stand space is offered free-of-charge on the understanding that clubs agree to the following Conditions of Entry:
SHOW PROMOTION:
  • Clubs will promote CMS2026 to your club's members and other followers/friends via all available club media e.g. club publication/s, websites/forums, social media and emails, to ensure your members and followers/friends are aware of your club's participation at the show.
  • Clubs will make every effort to promote the show and club ticket offer by publishing the club ticket offer advert and utilising other digital collateral across all club media (artwork is supplied to successful clubs).
  • Clubs will make every effort to provide details of their planned CMS2026 stand display in good time to our marketing and PR teams to use in pre-show publicity.
AT SHOW:
  • Any costs involved in your participation: dressing your stand area (e.g., optional carpet, electrics, graphics etc.), transporting vehicles, accommodating stand 'staff' and insurance will be at your club's own cost. Guidance and optional order forms are provided to selected clubs.
  • Display vehicles must be delivered to stands during build-up on Wednesday or Thursday and cannot be removed until breakdown commences after the show closes on Sunday evening or Monday morning.
  • All participants at the show must be made aware of and agree to abide by Clarion's Code of Conduct as detailed on the show website here.
  • Please note, exhibitors and their stands may be photographed, filmed or recorded for marketing, broadcast or security purposes during the Show. By attending the Show, exhibitors, their staff and club members/followers authorise such photography and recording, and permits the Organisers to use their image, likeness and voice for archival and promotional purposes in any and all media, without liability, compensation or credit. If you are including vehicles, images or other products as part of your display it is your responsibility to ensure the owners/suppliers are aware of this.
KEEPING CLUB STANDS NON-COMMERCIAL:
Clubs may not undertake any atypical commercial activity at the event. For clarity, this means:
  • Clubs are permitted to sell their own club merchandise or branded goods so long as this is a normal club activity; but this must be secondary to your vehicle display.
  • You are only permitted to sell spare parts if this is an on-going enterprise, is run voluntarily by club members for club profit and does not involve a commercial third party.
  • You are not permitted to lend any part of a club stand to any commercial company or to sell or promote anything from a club stand that is not a part of normal club activity.
  • Commercial branding* and commercial sales personnel are strictly prohibited from Club stands.
  • It is prohibited to advertise the private sale of any vehicle from a Club stand.
If you are uncertain about any situation relating to the restrictions of commerciality, please seek clarification from the Club Coordinator.
*A rare exception will be items promoting the show's headline sponsor when specifically agreed in advance with Clarion Events.
CLUB INSURANCE REPRESENTATIVES ON CLUB STANDS:
It is on the above non-commercial basis that we are able to give away nearly ¾ of all hall space free-of-charge to clubs at the Classic Motor Show.

It has come to our attention that some insurance companies, which partner with clubs to offer club specific insurance policies, have had representatives present on club stands. We have accepted this at previous events on the understanding that the insurance company’s representative was only present to discuss that individual club’s policy with visiting club members or potential members, as we appreciate access to an advantageous insurance policy is a key benefit of joining a club. However, it appears that the insurance representatives have not always respected our stipulations around representation on club stands.

Going forwards, if your club wishes to host a representative from an insurance company on your club stand to be able to discuss your club’s insurance offering, you must request permission, by providing the name of the insurance company your club partners with and wishes to host, at least six weeks before the show.

Clarion's sales team will contact the insurance company to ask if they wish to purchase their own stand at the show and how many representatives they wish to have on club stands. If their participation is confirmed, we will confirm permission for your club to host one of their representatives. N.B. If permission is granted, the insurance company’s branding is still not permitted on club stands and their representative should still appear indistinguishable from other club representatives working on your stand, as per the usual non-commercial conditions above.

However, if the insurance company chooses not to purchase their own stand at the show, we can no longer permit clubs to host a representative from an insurance company which does not also support the show. We trust clubs will respect this and in doing so support the longevity of the show’s ability to offer free stands to successful club applicants.

To request permission, provide your insurance partner's name in this application or email details to the Club Coordinator at least six weeks before the show.
INSURANCE:
  • Club exhibitors are responsible to take out adequate public liability insurance cover (£2 million).
  • Club exhibitors are required to indemnify Clarion Events Ltd against loss during the entire tenancy (0800 hrs on Wednesday 4 November to 1200 hrs on Monday 9 November 2026) as detailed on the Terms & Conditions sent out with stand contracts.
  • All exhibits, fittings and all other items brought into the exhibition by the exhibitor or the agents, contractors or other invitees of the exhibitor, shall be the sole responsibility of and at the sole risk of the Exhibitor. The Organiser shall not be responsible (other than where loss or damage is caused directly by the negligence of its employees) for any loss or damage to such exhibits, fittings or items however caused.
