EVENT OVERVIEW

Host Profile:
The Washington Interscholastic Activities Association (WIAA) was founded in 1905 as a voluntary, self-supported non-profit organization to administer the junior and senior high school athletic and activities programs in the state of Washington. The WIAA currently serves approximately 400 member high schools and 400 member middle schools and operates over 120+ High School State Championship events each school year.

Event Profile:
The two-day WIAA State Dance/Drill Championships are the culmination of the competitive high school dance/drill season. Teams can qualify during the District qualifying event in up to three (3) categories.  These championships bring together student-athletes, coaches, fans, parents, judges, and other spectators from all over Washington State.

Event Extent and Corresponding Dates:
The WIAA is looking to secure a facility for the next four years of the allocation cycle, then will consider a longer contract:

Projected Team & Attendee Profile (Subject to Change):
  • The number of qualified teams is typically around 70, with nearly 2,000 participants
  • The number of performances is typically around 140, which requires two (2) full days to complete
  • Families and classmates of the participating student-athletes
  • WIAA Staff, Event Staff, Judges, Sponsors and Vendors
Facility Requirements:
  • Two (2) basketball courts are preferred, one (1) for warm-ups and one (1) for the competition.
  • Facility with ticket gate / pass gate entrances with ease of managing and separating participants and spectators.
  • Restrooms (a separate restroom for event staff and judges is preferred.)
  • Sound System which includes four (4) speakers placed on the four (4) corners of the competition court.
  • Internet Access (for streaming, live scoring, and WIAA website updates.)
  • Booth/Designated area for media, streaming, event staff.
  • Private meeting area for up to 30 event staff and judges.
  • Sufficient parking for spectators and qualified teams, which also includes school busses.
  • Sufficient seating for both spectators and participants.  The seating for spectators needs to be on one (1) side of the facility since the routines will face the spectators; participants sit on the other side.
  • Meeting rooms/classrooms that teams can utilize between performances.
  • Space for vendor/sponsor displays/booths.
  • Concessions with a variety of items offered or allowance for outside vendors.
  • Emergency Action Plan.
  • Competition floor:
    • Performance area specifications:   Basketball floor inside court boundaries.
    • Ramps at all four (4) corners.
    • Table(s) and chairs for six to eight judges located in bleachers above the center line, and at least 15 feet from the spectators.
    • Spectator seating for a minimum of 4,000 on one side plus an additional 2,000 seating area for participants
  • Locker/meeting rooms:
    • A minimum of four (4) locker rooms with mirrors and restroom facilities.
    • Additional team meeting rooms as available.
  • Practice/warm-up area:
    • A full gymnasium for scheduled warm ups.
    • Secured/separated so that music can be played.
Host Responsibilities:

  • Athletic Trainer / Sports Medicine scheduling
  • On-site signage and marketing
  • Event materials and supplies
Hotel Requirements:
The host city must have access to safe, reasonably priced hotel rooms for schools that must travel. Size of teams will vary from four (4) to 40, with 2 or more coaches and chaperones, and a school administrator. In addition, there may been the need for up to ten (10) hotel rooms for two (2) nights for judges, event staff or WIAA executive board members.

Community Involvement:
Seeking community involvement is encouraged to enhance the event for participants and spectators alike. Hosts that can provide meals, gifts and courtesy relationships are preferred. The WIAA reserves the right to determine any promotion of such involvement and to review the details of any agreements.

Financial Agreement:
It shall be the decision of the bidding organization as to the amount of the financial aspect / agreement in their bid, and if so, what that amount shall be. Any costs to the WIAA must be outlined in the proposal. The host can retain all parking and concessions, provided that complimentary parking is provided for WIAA staff, event staff, judges, and team busses. If charging for parking, the rate must be included in this bid for review. The WIAA retains the right to establish ticket prices.
