Applications due May 1, 2020

The Ministry Displays are designed for United Methodist boards, agencies and UMC related 501(c)(3) agencies to share the diversity of United Methodist ministries and highlight helpful resources for local churches.

Our desire is that each display provides information that may be taken back to enrich the work of the local church. There will be no cost to exhibitors but NO SALES will be allowed due to WA State Fairground regulations. However, orders can be taken for later delivery by mail or outside the fairgrounds. We realize this is a hardship for some, but those are the rules we have been given.

All tables/spaces will be assigned. This allows us to group similar ministries and eliminates the need to arrive early to claim a favored space. Please do not trade spaces without permission! Limited electrical outlets are available. If you need an electrical outlet, that must be indicated on the application form and we will do our best to accommodate your needs. You will be responsible for bringing extension cords and blue painter’s tape to cover any cords that cross a pedestrian area. For those who attended last year, this year the displays will be set up nearer the entry, where dining was located.

Please limit your displays and/or presentations to the area assigned and do nothing that might interfere with the space of others. We encourage groups to collaborate with partners in the other conferences to share space. Also, be creative – go vertical, have interactive displays, use media to draw people to the display. Most will be in the middle of the area allowing for double-sided access.

These are six-foot tables, and they will NOT be skirted! Please bring your own table cover, banner, etc. to provide color. If you need more than the one provided chair, you’re welcome to bring your own.

Annual Conference this year will again be a NUT FREE zone. It will also be Fragrance-Free (including citrus). Please remember this when considering your personal care and food, as well as any food or other items you put out as enticements.

Displays may be set up between 8:00 AM and 3:00 PM on Thursday, June 11. Displays should remain in place until after 2:00 PM Saturday. They must be removed by 1:00 PM Sunday.

The earlier you set up the more time early arrivals will have to browse that first day. Other optimal times to have your representatives on hand will be during breaks and lunch periods, and you might have a sign-in sheet, or way to contact you posted at the table.

Exhibitors are welcome to attend all open sessions of the Greater Northwest Shared Annual Conference Session.

We have no way to secure the Ministry Display area, so please take any computers or other valuable items with you when you are not at the table. Neither the State Fairgrounds nor the Annual Conference will accept liability for any losses.

If you have difficulty completing the application online, please let Lynn know and she will send you a Word document to complete.

Applications are due May 1, 2020.
