2015 Conference Vendor Guidelines and Application

Thank you for your interest in the 5th Annual National Black Women’s Life Balance and Wellness Conference. We are expecting over 200 attendees and the conference will be held at:

Manley Center Atrium & Cosby Bldg.

Atlanta, GA 30310

We are looking for vendors with unique products services for our demographic. Also, we are seeking vendors with offerings relevant to the conference’s focus on health, wellness, life balance, and well-being for Black women/women of African descent. Examples include wellness products, books, personal services, and more.

Our affordable vending space is $125 per vendor. We will limit the number of companies and organizations with similar products to 2 or 3 due to the limited space for this event. If you are interested in being a vendor, please complete our online application. If you are approved as a vendor, you will be asked to provide a brief company description and logo.

Timeline
• Application Deadline: August 28, 2015
• Application Acceptance Agreement and Payment Notice Sent to Selected Vendors: September 4, 2015
• Event Date:Saturday, September 18, 2015 8:30 a.m. – 5:30 p.m. (Cosby Building).
• Setup Time:  Saturday at 7:00 a.m. Your location will be assigned and available to you the morning of the event by management onsite.
• Breakdown Time: Saturday, September 18 at 5:30 p.m. 

Payment
• Full payment must be received by 5:00 p.m. on September 11, 2015 or your spot will be offered to another vendor.
• Cost for vendors is $125.00 and is limited to only one brand per space.
• Vending fees are non-refundable, but may be transferred to another party with written approval.

Vending Space Layout
• Each vendor will have a 10’ X 10’ space. Vending will take place indoors in the Manley Atrium and in lobby of the Spelman College Cosby Auditorium.
• We suggest that you bring a table no longer than 6’ and chairs for your team. All tables are required to be covered with table cloths.
• Vendors are approved for small banners that are in your area only. We cannot allow larger banners onsite.
• Vendors and their websites will be listed on the event website and conference program.

Rules and Responsibilities
• Vendors will be responsible for payments for all purchases made at their tables.
• Vendors are welcome to include prizes and giveaways for attendees.
• Vendors or a designee must be present at your vending space during the entire event.
• Vendors are responsible for the care and safety of their products. The conference organizers, volunteers, Spelman College, and other parties associated with the Black Women’s Life Balance and Wellness Conference will not be responsible for damage or theft.
• Vendors should not obstruct walking spaces and should secure products at their vending space.
• Sharing of vending space is prohibited without prior written approval.
• Vendors are not allowed to sell any foods or drinks at your space. We have registered catering and food services to provide these services for our guests.
