How to Create Personalized Email Message and From Address

Before composing your message, the system prompts you to choose the recipients for message delivery or the "to" field. To create or view messages, click the Edit Messages button.

When you click [Create Email Message to Send >>] (after adding your recipients), a page opens confirming which recipients from the selected list should be sent the message.

Select your recipients and save to compose the message. After saving the selected recipients, the message composition tool opens as shown below.

To Open the Message Editor follow these steps.

  1. Click Edit Message
  2. Click Create New Message
  3. Choose Recipients for message and save
  4. Message Editor opens

Clicking [Create New Message] opens the Choose Recipients page where you can select the recipients for your message. After selecting the recipients, click [Save Selection & Continue >>] to open the Compose Email Message editor.

Recipient Selections

  • New/ Unsent -  sends a message to all recipients who have not been sent a message.
  • Not Responded - sends your message to only those recipients who did not respond to your first invitation (There is an option to send to only those respondents that partially completed the survey when selecting this option).
  • Entire List - sends the message to everyone in your email list.
  • Custom Criteria - allows you to set a custom criteria and send the message to only those recipients who match the set criteria. For example, you may enter an email address or a specific custom data field to send the message to only those recipients who match the set criteria (partial email addresses will work). 

Tip! Select the recipients for sending the message to see the number of respondents who will be sent the message at the bottom of the page. (You may click the [View] button to open a dialog box showing the selected recipients.)

To get started, enter the subject of the message. (You can use the custom tags, in your subject line as well to populate the respondent's name or other custom information from your email list!) arrow.gif  Message Formatting Tips

How Does the [SurveyLink] and [RemoveLink] Work? 

When the message is sent, the required tags will create the a Survey Link and Remove link for each recipient in order to track the recipient information. The required tags: [SurveyLink] and [RemoveLink], must be included in order to send the survey and track the respondent information. (It is not possible to remove the Opt Out Link.)

The optional "tags" will populate the actual text you have included in your email list in the customized email message as explained below.

Can I Customize My Message? 

Yes, the email message is completely customizable. Simply edit the example message by altering the text in the Body of the Email Message field. arrow.gif  HTML coding in the message

 The required tags: [SurveyLink] and [RemoveLink], explained in detail beside the body of your email message, must be included in order to send the survey and track the respondent information. They can be placed anywhere you like in your message, but cannot be altered.

If you erase one, just place the cursor in your message where you need the tag and click [Insert Survey Link] or [Insert Remove Link]. This will re-populate or add the tag in your message.

 

 

5:  Reply Address or From Address

After you've edited the subject and body of your message, you're ready to enter the Reply Email Address. This address can be changed to any valid email address you like, but it must be a valid e-mail address. This address will be shown in the recipient’s inbox as the “from” address.

Note: It is not possible to change the way the email address will appear. The reply address also allows respondents to reply to the email to ask questions, and it will receive the undeliverable emails - Bounce Back emails.

The message is really sent by us, but it looks like it's coming from you. Respondents cannot tell that the message was sent from us, but some security settings detect that it wasn't. Click for details.

 

6:  To Send the Email Invitation 

Click [Save & Preview] to open the Message Summary page. From the Message Summary page you will schedule the delivery of your message.

Custom Tags: Interested in further personalizing your message?

We support four custom tags to allow you to personalize your message, similar to mail merge in a word processing application. Just add one of the following tags to the subject or body of your message, and we will replace the tag with the actual text when the message is sent.
 
 [FirstName] We will replace this tag with the information included in the recipient's first name field.
 [LastName] We will replace this tag with the information included in the recipient's last name field.
 [Email] We will replace this tag with the recipient's actual email address.
 [CustomData] 

 We will replace this tag with the text that you have stored in that recipient's custom value field. 

  
 Tip: It is not possible to add additional tracking fields!
Multiple words can be used in a single custom value field, but the system recognizes comas as different fields. You may use different punctuation or spaces can be used between words instead of using commas. Therefore, you could use the First Name field for the first and last name, etc. Please note, if you use a comma, multiple words will be placed in the different fields or omitted from the list. The system recognizes three columns, fields, or commas only.
